SHRM OFFICER'S MEETING MINUTES

Date: August 03, 2000

The officer's meeting was called by Student Chapter President, Fernando Burgos, to discuss the plan of action for the Fall Semester, 2000. The meeting was called to order at 6:00 p.m. in room 317 in the College of Business. 

HR Conference in Las Vegas
Our Vice-President Patty Bocanegra, sharing with us her experience at the HR Las Vegas Conference, started the meeting. The conference was held for four days, from June 24-27 and it encompassed around 17,000 people, which among them were 300 students from all over the country. Some of the activities included the competition of HR Games, speakers at the Bellagio Hotel, major company sponsors, and high technology companies that offered many opportunities for student growth and development.

* Patty also brought the officers two HR pins that are to be worn at all meetings and activities where we represent the Student Chapter.

Highlights from last meeting: in order of importance
1. Communication: Establish a monthly calendar for all activities on the Web page: http://shrmutep.tripod.com 

Some of the Fall activities will be:

* Aug. 28th - Sept. 1st First week of school, recruitment.
* Sept. 4th - 8th First official meeting for the entire group.
* Sept. 12th Officers will be hosting the El Paso Chapter Meeting at the Airport Holiday Inn Hotel. All officers should attend.
* Sept. 22nd Bi-National HR Conference at the Camino Real Hotel.
* Sept. 25th - Oct. 13th First Fund Raiser (smoothies and bake sale, tentatively).
* Oct. 10th El Paso Chapter Meeting at the Airport Holiday Inn Hotel.
* Oct. 18th - 20th Southwest HR Conference & Exposition in Fort Worth, Texas.
* Nov. 14th El Paso Chapter Meeting at the Airport Holiday Inn Hotel.

2. Recruitment: The marketing of SHRM benefits (very important!).
3. Good quality of speakers and activities. 
4. Fundraisers: Bake sales, drink/smoothie sale, drawings, corporate sponsorship.
5. Job assessment: Internships, jobs, networking with local companies, shadow days, résumé workshops, etc.

Recruitment
1. By letter. Obtain a list of names and addresses from Mr. Eason of all students in the Human Resource and Management Majors and send them a letter, before school starts, to invite them to join our organization and provide them with SHRM information. This letter should have the next meeting date posted.
2. Speaking in classrooms**. The main goal is to target sophomore and junior students. Officers will be asked to go to the classrooms on the first week of classes and inform student about our organization and encourage them to join it. Some of the target classes should be (but not restricted to):

* Labor Relations
* Introduction to Human Resources 
* Introduction to Marketing
* Introduction to Finance
* Introduction to Management
* Staffing and Planning
* Employment Law
* Business Law
* Training and Development
* Small Business Management

3. Student Orientation booth. A booth will be set up with information and literature about our organization on Aug. 8, 15, & 22 (Tuesdays) from 11:30 a.m. - 1:00 p.m. Our goal is to target new students that will join our organization and will stay with us for more than a few months. Ask Mr. Eason for the wood cabinet that contains pictures and information about our organization and display the case at the booth. We need officers to cover for these times.** 
4. HR Conference. Promote our organization at conferences with plaques, display case and merit package.
5. Posters. Place large signs and posters that are eye-catching with our web address on all the SHRM boards across COBA. 

**E-mail Fernando on the times and dates the officers will be able to attend.

Web Page
1. Make the web page a communication doorway for new and current members (constant news updates). 
2. The by-laws of our organization should be put in text on our web page (Juan).
3. Have online newsletter and a paper newsletter available every month (Martina).
4. The core web page should have a calendar of events with information links that will explain the activities that are planned for a particular event (Juan, John and Fernando).
5. Mr. Eason will be getting a digital camera to put video clips and pictures of our activities on the web (50 megabytes will be available).

El Paso SHRM
1. The El Paso Chapter meeting will be held on Aug. 15th at the Airport Holiday Inn Hotel at 11:15 a.m. This meeting is mandatory for officers. This will give a backbone structure for the meeting we (officers) will be conducting on Sept. 12th, which will also encompass topics like the election of officers for the El Paso SHRM for the year 2001, and the International HR topic of NAFTA - (Past, Present & Future).
2. Sept. 12th, officers will be hosting the El Paso SHRM meeting. We need volunteers to help us conduct the meeting, be at the entrance helping at the booth, and maybe speak at the meeting. The meeting will be at the Airport Holiday Inn Hotel at 11:15 a.m. - 1:00 p.m.
3. HR Bi-National Conference. We are volunteers at this conference on Sept. 23rd at the Camino Real Hotel. More information will be provided as it becomes available.
4. Professional Development Seminar...Aug. 8th at the Airport Holiday Inn Hotel. "Health, Safety and Security in the New Century" Seminar from 7:30 a.m. - 11:30 p.m. Cost of seminar is $35 for EPSHRM Members, $50 for non-EPSHRM Members, $25 for EPSHRM/SHRM Members, and $15 for Student Members. We can send one student for free each month.
5. Sept. 6th - Classes begin at UTEP for PHR/SPHR certification. Scholarship applications for Fall 2000 are available.
6. Sept. 12th - HR Basic Practices & Principles class begins at UTEP.


Fundraising Opportunities
1. SGA (Student Government Association) and BCC funds will be requested to help out with the expenses for the HR Southwest Conference in October. 
2. Contact larger corporations like Furr's, Apple Bees, Albertson's, Wal-Mart, and Price's Creameries for corporate sponsorship (including SHRM sponsorship for students) and provide our organization with baked goods, milk, etc. (Martha and Juan).
3. Collect all SHRM membership dues at the beginning of the semester (Barbara).
4. Drawings at El Paso SHRM meetings for Christmas and Thanksgiving.
5. At least two fundraisers at UTEP.
6. Design a web page that can be updated frequently for the El Paso Chapter and charge a minimum fee each month (maybe for the Spring Semester).

Merit Package
1. Document everything we do (letters, flyers, pictures, etc.) and give a copy to John.
2. John should spend time with Mr. Eason so he can guide him on the process.
3. New 2000-2001 applications have been printed.

Social Activities
1. Member's birthdays (with day and month - dd/mm) should be kept on file to celebrate at our monthly meetings.
2. Plan homecoming activities.
3. Tailgate parties for games.
4. Officer's meetings at someone's home.

Budget
1. The SHRM account needs to be updated with Barbara, Fernando, and Mr. Eason's name.
2. Collect and organize all statements and make sure that all previous expenses have been taken care of before any new ones are incurred (Dallas trip, rental van, orientation expenses, etc.).

Other Events
1. Career Services mock interview volunteers.
2. Shadow day and business tours with companies.
3. HR Southwest conference (www.hrsouthwest.com).
4. Resume and interview seminar.
